Administration Guide

The ExtraView Administrator’s Guide is designed to give users of the ExtraView web-based business issue tracking system the knowledge and proficiency needed to accomplish two general goals:

  1. Customize ExtraView to conform to their company’s workflow processes, business rules, and inter-organizational vocabulary, with all the appropriate data fields and security privileges that are required.
  2. Give Administrators the ability to successfully administer ExtraView on an ongoing basis in order to efficiently respond to user inquiries, concerns, and requests.

In writing this guide, we anticipate that the reader is at least somewhat familiar with many of the standard issue tracking and business management functions found in ExtraView. Accordingly, this guide will assume this familiarity, and will focus on describing the administrative functions of ExtraView.

ExtraView Versions

At the top left-hand corner of each documentation page within this guide, you will see a colored block that indicates whether the feature works with all ExtraView versions, with ExtraView GC only, or that the page reflects a feature that partially works with ExtraView and fully with ExtraView GC.

ExtraView Administration Modes

When first logging into ExtraView as an Administrator, from the Administration menu, ExtraView will direct users to the Simple Administration Mode. This mode is a list of the more commonly used Administrative functions for new users. This Simple Administration Mode is designed to give quick access to some of ExtraView’s frequently accessed options such as User Roles, Behavior Settings, Security Privileges, and Sign On Messages. The Advanced Administration Mode is designed to guide more experienced users throughout all of their Admin needs, and in prior versions of ExtraView was the only option for Administration navigation. By simply clicking on Use Simple/Advanced Admin mode, located in the top right hand of the screen, users are able to switch back and forth between the modes depending on their needs. ExtraView will automatically remember which mode was last selected from the previous sign on.

Within the Advanced Administration Mode there are a set of tabs to access all the administrative features. Their titles are as follows:

  • Users
  • Lists
  • Fields & Layouts
  • Display & Reports
  • Workflow
  • Email Notification
  • System Controls
  • Import/Export

Each of these tabs contain separate administrative options. This guide uses the Advanced Administration Mode for all its contents, so that all features are covered.
