{"id":21972,"date":"2024-02-15T14:48:40","date_gmt":"2024-02-15T22:48:40","guid":{"rendered":"https:\/\/docs.extraview.com\/v22\/book\/merging-data-microsoft-word-templates\/"},"modified":"2024-02-15T14:48:40","modified_gmt":"2024-02-15T22:48:40","slug":"merging-data-microsoft-word-templates","status":"publish","type":"page","link":"https:\/\/docs.extraview.com\/v22\/merging-data-microsoft-word-templates\/","title":{"rendered":"Merging Data with Microsoft Word Templates"},"content":{"rendered":"<p>This feature is used to merge ExtraView data produced with a Column report, with a Microsoft Word template that contains mailing (or similar) data.&nbsp; The typical use for this report is to create a Microsoft Word document containing mailing labels, using data from ExtraView issues.<\/p>\n<p>The steps to create the mailing labels are as follows:<\/p>\n<ul>\n<li>\n\t\tFirst, create the Microsoft Word template<\/p>\n<ul>\n<li>\n\t\t\t\tIt is&nbsp;recommended that you work with a standard document to begin with, saving it with&nbsp;a .doc or .docx extension<\/li>\n<li>\n\t\t\t\tYou will design the document with the appropriate mailing labels, using the Microsoft Word MAILINGS function<\/li>\n<li>\n\t\t\t\tWithin the MAILINGS function, you compose each label similar to this screenshot.&nbsp; Notice that you embed the ExtraView field names within $$ tokens<\/p>\n<p>\t\t\t\t<img decoding=\"async\" alt=\"\" src=\"\/extraview-media\/images\/ug\/querying_reporting\/word-template-composition.png\" style=\"width: 50%;\" \/><\/li>\n<li>\n\t\t\t\tUse the <strong>Options<\/strong> button within the above dialog to select or design the mailing label style you want to use<\/li>\n<li>\n\t\t\t\tThe final template must be saved as a .dot or .dotx Word template file.&nbsp; If you need to make subsequent changes to the template, do not&nbsp;modify the .dot or .dotx file as this will invisibly break the internal structure of the template file. To make changes, edit the .doc or .docx file, then re-save as a .dotx file. The template file will look something like this:<\/p>\n<p>\t\t\t\t<img decoding=\"async\" alt=\"\" src=\"\/extraview-media\/images\/ug\/querying_reporting\/word-template-doc.png\" style=\"width: 70%;\" \/><\/li>\n<\/ul>\n<\/li>\n<li>\n\t\tNow use the column report editor to compose the Column report.&nbsp; The key point is to select the output type as <strong>Microsoft Word mail label (merge with uploaded file)<\/strong>.&nbsp; You may then upload the .dot or .dotx template file<\/p>\n<p>\t\t<img decoding=\"async\" alt=\"\" src=\"\/extraview-media\/images\/ug\/querying_reporting\/word-template2.png\" style=\"width: 90%;\" \/><\/li>\n<li>\n\t\tSelect the fields to be output into the template, and any fields you might want to use to sort the results<\/li>\n<li>\n\t\tSelect the filters you want for the report to obtain the issues for the labels<\/li>\n<li>\n\t\tWhen you run the report, the output will be&nbsp;a Microsoft Word document, with the data merged from the ExtraView issues that are selected by the filters of the report.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n","protected":false},"excerpt":{"rendered":"<p>This feature is used to merge ExtraView data produced with a Column report, with a Microsoft Word template that contains mailing (or similar) data.&nbsp; The typical use for this report is to create a Microsoft Word document containing mailing labels, using data from ExtraView issues.
